At Pro Epic we use a lot of on-line accounts. Web sites, hosting accounts, FTP accounts, merchant accounts, software vendors; the list seems to go on forever. Managing all of those user names, passwords and challenge/responses became a huge task.
At first, like most people, we used one or two passwords and user names for everything. The problem with that tactic should be obvious to everyone. If one of your passwords is compromised, it places a number of our accounts at immediate risk. Security experts recommend using unique user-name/password pairs and changing your password every few months. That is a tall order for someone who doesn't go a whole day without losing their glasses and can't remember what they had for lunch yesterday.
Okay, so we tried to make up passwords that were easy for us to remember, like our birthday, our wedding anniversary, the kids' names, etc. The problem with that is that if your passwords are easy to remember, then they are easy for an intruder to guess. Anyone with any knowledge of you or your family could easily guess most of your passwords in a few minutes.
The last-ditch effort at managing account security ourselves was a spreadsheet with all of the websites, user names and passwords listed in columns. It's not a very secure or user friendly solution. You pretty much have to leave the spreadsheet open all the time as you flit from account to account during a busy day. Anyone standing anywhere near you can easily see and take note of your precious passwords.

Because each passcard is in a separate file, it is easy to copy your passcards to another location for safe keeping. We keep a copy of the RoboForm installation program, our registration information and all of our passcards on a thumbdrive and then store the thumbdrive in a safe and remote location.
